Information for GMs running games at an ETMW Games Day mini-convention.

Scheduling a game

What information do I need to provide about my game?

You need to send the following information:

  • What time to start? Generally, full games run 2-6 and 6-10. Demos might be 4-8, to split the difference.
  • Event title
  • Rules being used
  • Scale of figures
  • Size table you need (generally, 6’x5’ and 8’x5’ are available)
  • Setting
  • Number of players
  • Your name
  • A brief description of the game, scenario, etc…
  • Anything else you think will be helpful, but especially if you have an pictures of the game you would like to use to help promote the game, that would be helpful.

What’s the deadline to sign up to run a game?

I like to publish a final schedule a month before the actual games day. So, a Februry 28th event date means I’d like to publish a schedule around January 28th.

Will you promote my game?

I will make announcements for your game on Discord and Facebook. You are probably more aware of likely players for your game, and I would encourage you to promote your game yourself.

What games can I run?

Any thing that can roughly be considered a miniatures game is welcome. That means “board games” such as Space Hulk, Blood Bowl, Aliens: Another Glorious Day in the Corps, etc… are welcome.

Do my figures need to be painted?

Painted figures and finished terrain are strongly encouraged, but not necessarily required, especially for drop-in/drop-out demo games.

How do I contact you with more qustions?

Andy Cowell is available through these means of communication:

  • The ETMW Discord as vt102 - Andy
  • Cell phone 865-804-3082
  • E-mail andy@cowell.org
  • Facebook

Arriving during the event

How early can I arrive?

At Iron Wyvern, we haven’t had problems getting GMs in as early as an hour before start (1:00). However, if you need more than 30 minutes, let’s check with Iron Wyvern and make sure they will be there to open the doors.

What table should I use?

At Iron Wyvern, there are enough tables that we haven’t had to be very strict about what game plays on what table. If you need to start setting up and have a concern about what table to use, reach out to Andy Cowell or, if you can’t find him, store staff.

How to identify my table for players?

I typically bring these acrylic sign holders. If you’d like to print up an 8.5x11” page with your game info, we can post it at your table.

Can I just bring a game I didn’t schedule and set up?

Sure! The space is open to the public and there are plenty of tables.
